Job Summary
The Executive Education department of the David Eccles School of Business is seeking a Program Coordinator to help with program-related tasks. Executive Education uses MBA faculty members to teach short programs for companies around the state of Utah. Our clientele is mid to senior-level executives in companies. Our classes are run like events; we provide catering, first-class customer service, and do our best to accommodate our guests.
This is for a non-exempt PT job. This job is considered “essential,” and therefore, the employee must be work on campus and in person.
Responsibilities
- We are looking for a detail-oriented, efficient, self-reliant team player who thrives in a fast-paced environment to provide direct support to a full-time staff member.
- Required to wear professional clothing every day.
- Assist with event catering and logistics for events and programs, set-up, and clean-up.
- Create materials for classes (name tents, name tags, etc.). Set up classrooms. Deliver and pick up classroom materials.
- Provide front desk coverage. Answer, screen, and transfer incoming phone calls, greet, and direct, high-level executive customers. Prepare mailings, data- entry, maintain and order office supplies, and sort and distribute mail.
- Assist our sales team by meticulously entering Salesforce CRM data, and preparing follow-up documents. Attention to detail in entering, maintaining, and analyzing data is crucial.
- Significant interpersonal communication with prospective students over the phone, as well as in-person and through email.
- Assisting with the planning and preparation of events and class day procedures.
- Proven ability to work effectively and efficiently in a team setting.
- Ensure a high level of customer service when engaging with professional students, staff, and all team members.
- May need to move object weighing 0-50lbs
- In this job you will be moving around a lot and keeping busy.
- Perform other job-related duties or requests as assigned.
Minimum Qualifications
One year experience or experience working with and organizing events, social schedules, conferences, etc., or equivalency; demonstrated human relations and communication skills; and a commitment to provide excellent customer service required. 45 wpm typing may be required in some departments. Accounting/bookkeeping experience preferred.

- Must feel comfortable networking with students during student events and classes. Should be comfortable answering phones calls in the office from prospective and current students and helping direct their calls.

- Able to lift, carry, and move 25 lbs. and stand for an extended period of time in preparation for Executive Education events.
- Ability to work in high-stress situations and without supervision.
- Professional phone etiquette.
- Written and verbal communication skills.
- Ability to multitask and prioritize responsibilities.
- Proficient in Word, Excel, PowerPoint. Desire to work in a professional environment.
