Job Overview
We are in search of an exceptionally organized and proactive Office Manager to become an integral part of our team at our Cerritos office. This pivotal role involves overseeing the daily operations of the office while offering administrative support to senior management. Key Responsibilities
- Coordinate and facilitate office-wide meetings, staff events, and corporate functions, both in-person and virtual.
- Manage logistics for meetings and events, which includes venue booking, catering arrangements, and travel coordination.
- Provide comprehensive calendar management and scheduling support for senior leadership.
- Collaborate with various teams to ensure timely preparation of marketing materials and event resources.
- Establish and sustain relationships with vendors for event supplies, promotional items, and other services.
- Prepare and disseminate meeting agendas and materials for key gatherings.
- Oversee general office maintenance, liaising with building management for any repairs and ensuring compliance with health and safety regulations.
- Monitor and manage office supplies, restocking as necessary and ensuring proper maintenance of equipment.
- Assist in onboarding new employees by configuring workstations and issuing IT equipment.
- Manage office budgets and track expenses related to supplies and events, maintaining a focus on cost efficiency.
- Serve as the main point of contact for office-related inquiries from employees and external partners.
- Implement and uphold organizational policies and procedures to guarantee seamless office operations.
Required Skills
- Proven experience as an Office Manager, Executive Assistant, or in a similar capacity.
- Strong organizational and multitasking abilities with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential; familiarity with office or project management tools is advantageous.
- Capacity to flourish in a fast-paced environment and manage multiple priorities effectively.
- Experience in coordinating both virtual and in-person events.
- Familiarity with CRM or scheduling software is a plus.
Qualifications
- Ability to travel to the Cerritos office up to 4 days per week.
- Experience in a fast-paced or startup environment is highly desirable.
