Payroll Specialist.
The Payroll Specialist will support our US and Canada payrolls and is responsible for facilitating the seamless transfer of payroll data to our Third-Party Payroll provider. While not directly responsible for processing payroll, the Payroll Specialist plays a vital role in ensuring the accuracy and efficiency of our payroll operations. The successful candidate will serve as the first point of contact for employees with pay and tax questions, and is responsible for administering and managing timesheets, in-house payments (ad-hoc wires), auditing payroll for accuracy and performing special projects as needed. The Payroll Specialist will report to the Sr. Director of Total Rewards and must have great attention to detail and be able to interact professionally with employees and managers.
What You'll Do
- Serve as the primary point of contact between the company and the Third-Party Payroll provider, conveying payroll instructions, updates, and special requests effectively and accurately.
- Address questions from managers and employees related to payroll, time-off, banking, garnishments, employment verification, workers compensation, tax questions and other changes.
- Collect and review employee time records, Leave of Absence information, and other relevant data to ensure accuracy and completeness before submission to the Third-Party Payroll provider.
- Maintain accurate and organized payroll records, reports, and documentation for auditing and reporting purposes.
- Collaborate with HR, Finance, and other relevant departments to obtain necessary payroll-related information and resolve any discrepancies or issues in a timely manner.
- Assist with special payrolls including commissions, bonuses, and year-end payroll reconciliations.
- Assist with ad-hoc payments for terminations and discrepancies.
- Work with the People Team to ensure accuracy of payroll data, including new hires, terminations, transfers, rate changes and variable pay.
- Assist the Accounting Department with payroll GL files, monthly reconciliation, and annual audit as it relates to payroll processes.
- Respond to requests for employment verifications and manage the relationship with our 3rd party provider.
- Partner with the HRIS team and 3rd party payroll provider to manage system changes as needed.
- Partner with the Benefits team on annual benefits configurations and file transfers.
- Stay abreast of relevant federal, state, and local payroll regulations to ensure compliance in payroll processing and reporting.
- Identify opportunities for streamlining payroll processes, improving efficiency, and enhancing data accuracy, and contribute to the implementation of best practices.
What You'll Bring
- Bachelor's Degree or equivalent experience
- 5+ years of experience as a payroll specialist
- Experience working with a 3rd Party Payroll Managed Service
- UKG Payroll experience
- Advanced in Microsoft Excel
- Strong knowledge of payroll related laws (Canada payroll experience a PLUS)
- Ability to work independently in a fast-paced, team-oriented environment
- Ability to work under pressure and meet deadlines
- Must be organized, detail oriented and produce accurate work
- Must have a strong work ethic, be dependable and trustworthy
- Benefit and Leave of Absence experience, as it relates to payroll, a plus
The reasonably estimated salary for this role at Everbridge ranges from $54,000 - $73,000 and may also include variable compensation. Actual compensation is based on factors such as the candidate's skills, qualifications, and experience.
